Privacy Policy

This page explains what personal information we collect, why we collect it, and what we do with it. We keep it short and plain on purpose. "We", "us" and "The Found Agency" mean [LEGAL ENTITY NAME], [LOCATION].

What we collect

When you contact us. If you email us or book an intro call, we get your name, email address, hotel name and whatever you choose to tell us.

When you are a client. We also hold the business details we need to do the work: contact details for your team, invoicing details, and the access you give us to your accounts (for example your Google Business Profile, analytics or booking engine). We only ask for what the work needs.

When you visit this website. This site is plain HTML and does not use advertising cookies or tracking pixels. Our web host may keep basic technical logs, such as IP address, browser type and the pages requested, for security and to keep the site running. The site loads fonts from Google Fonts, which means your browser makes a request to Google when the page loads.

How we use it

We do not sell your information. We do not use it for anything unrelated to the above without asking you first.

Why we are allowed to use it

We use your information because you asked us to (replying to an enquiry), because we need it to carry out a contract with you, because the law requires it (tax and accounting records), or because it is a reasonable part of running our business and does not override your rights. We email prospects only about work relevant to their hotel and always include a way to say no.

Who we share it with

Only the services we need to run the business, such as email, file storage, invoicing and payment providers, and the platforms you ask us to work on. These providers handle information on our behalf and under their own security and privacy terms. We may also share information if the law requires it. We do not share client information with other clients.

Your hotel's guest data

Our work does not need your guests' personal details, and we do not ask for them. If we ever get access to a system that holds guest data, such as a booking engine or analytics account, we use it only to do the agreed work, we do not copy or export guest details, and we tell you if we see something we should not.

How long we keep it

We keep enquiry details for as long as the conversation is live and up to [24] months after. Client records are kept for the length of the work and then for as long as tax and accounting law requires. Account access we were given is removed when the work ends.

How we protect it

We use strong, unique passwords and two-step sign-in, we keep client information in private, access-controlled storage, and we ask to be added to your accounts as a named user rather than being given your password. No system is perfectly secure, but we take reasonable care and will tell you promptly if something goes wrong that affects you.

Your rights

Depending on where you live, you can ask us to show you the information we hold about you, correct it, delete it, limit how we use it, or send you a copy. You can also object to marketing emails at any time. To do any of these, email us at the address below and we will reply within 30 days. If you are unhappy with how we handled your request, you can complain to your local data protection authority.

Changes to this page

If we change this policy we will update the date at the top. If the change is significant, we will tell clients directly.
